Quoth Privacy Policy

1. Introduction
This Privacy Policy explains how Quoth, LLC ("Quoth," "we," "us," or "our") collects, uses, discloses, and protects information in connection with the Quoth software platform, website, and related services (collectively, the "Services"). This Policy is incorporated into and forms part of our Terms of Service.
2. Scope: What This Policy Does — and Doesn't — Cover
Quoth is built for working court reporting professionals, and our data practices reflect that:
- Audio recordings you process through the Services remain stored locally on your own device. Quoth does not upload or retain your audio recordings on its servers. Audio is transmitted transiently to our third-party automated speech recognition ("ASR") provider solely to generate a draft transcript, and is not stored persistently by that provider beyond what's necessary to complete processing.
- This Policy covers information Quoth does collect and store — primarily account, billing, and limited usage data — not the case-related audio and transcript content that stays on your machine.
3. Information We Collect
Account information: name, email address, firm/business name, and login credentials when you register.
Billing information: payment details are collected and processed by our third-party payment processor Stripe. Quoth does not store full credit card numbers on its own servers.
Transcript/case data you actively sync or save: if you use features that save transcript text, annotations, or project metadata to your account (as opposed to audio, which stays local), that data may be stored on Quoth's servers to enable your account, sync across your own devices, and provide the Services.
Usage and diagnostic data: Quoth does not currently use any third-party analytics tool. Limited technical logs (e.g., error logs) may be generated in the ordinary course of operating the Services, but no behavioral usage tracking or analytics platform is in use at this time. This section will be updated if that changes.
Communications: information you provide when contacting support, such as emails to hello@quoth.pro.
Marketing website: the Quoth marketing website does not currently collect any personal information (e.g., no contact forms, cookies, or tracking scripts). This section will be updated if that changes.
4. How We Use Information
We use collected information to:
- Provide, maintain, and improve the Services;
- Process payments and manage subscriptions;
- Provide customer support;
- Send administrative communications (billing notices, security alerts, policy updates);
- Monitor for security issues, fraud, and abuse; and
- Comply with legal obligations.
We do not sell your personal information or your case-related content to third parties.
5. Third-Party Service Providers
We use a limited set of third-party providers to operate the Services, including:
- Automated speech recognition provider (currently AssemblyAI) — receives audio transiently for transcript-generation processing only, and does not retain audio beyond what's needed to complete that processing.
- Payment processor (Stripe) — handles billing and payment card data.
- Email/communications provider (Google Workspace) — used for Quoth's business email and, where applicable, transactional emails to users.
- Hosting/infrastructure provider (DigitalOcean, U.S.-based servers) — hosts account, billing metadata, and any synced transcript/project data.
These providers process data only as necessary to provide their specific function and are contractually or by design limited in their retention and use of your data.
6. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction. Because audio and case content remain on your own device by design, you also play a central role in securing that data — including keeping your device and local files appropriately protected, especially for sensitive matters such as sealed records or proceedings involving minors.
No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Data Retention
- Audio recordings: not retained by Quoth (see Section 2).
- Account and billing information: retained for as long as your account is active, and for a reasonable period afterward as needed for legal, tax, or accounting purposes.
- Synced transcript/project data (if applicable): retained until you delete it or close your account, after which it will be deleted within a reasonable period.
8. Your Choices and Rights
You may:
- Access and update your account information at any time through your account settings;
- Request deletion of your account and associated data (subject to legal retention requirements, e.g., billing records);
- Opt out of non-essential email communications.
Depending on your state of residence, you may have additional rights under applicable state privacy laws (e.g., the right to know what personal information is collected, and the right to request deletion). To exercise any of these rights, contact us at hello@quoth.pro.
9. Children's Privacy
The Services are intended for use by working professionals and are not directed to individuals under 18. We do not knowingly collect personal information from children.
10. Sensitive Case Content
Because Quoth is used to process legal proceedings — including matters involving minors, sealed records, or confidential testimony — we want to be direct: that content lives on your device, not ours, by design. You remain responsible for handling such content in accordance with applicable court orders, confidentiality obligations, and professional standards, including your own decisions about whether AI-assisted features are appropriate for a given matter.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notice, with an updated "Last Updated" date.
